UC-Pii
UC-PII
A private case-management workspace for Obsidian: people, projects, tasks, meetings and a journal in one pane, with an optional Google sync that never sends your case files.
UC-PII turns an Obsidian vault into a full working app. Every contact, company, project, task and meeting is a plain Markdown note with structured properties. You get dashboards, kanban boards and a daily briefing on top, and your data stays readable, portable and under your control.
Version 1.1.4 · Obsidian 1.4.0+ · Desktop and mobile
Who it’s for
- Consultants, investigators, researchers and independent professionals juggling many people and engagements at once
- Anyone who wants a CRM, project tracker and planner without a subscription or a vendor holding their data
- People who keep sensitive notes and want them encrypted, local, and out of the cloud by default
What you can do with it
Start every day from one screen
The Home command centre opens with a Top of the Day briefing. It shows:
- open tasks
- overdue reminders
- reminders due later today
- contacts you haven’t touched in 30+ days
- project milestones coming up in the next two weeks
Below the briefing are your Inbox, today’s tasks, weekly progress, the next 7 days, active projects and recent activity. Each item is one click away.
Capture anything, get reminded at the right time
- Quick capture from anywhere with Ctrl/Cmd + Shift + I
- Optional reminder time with one-click presets (+15 min, +1 hour, +3 hours, tomorrow 9am) and daily or weekly repeats
- The Inbox sorts items into Now, Today, This Week and Later, with snooze buttons and notes on each item
- In-app and desktop notifications when a reminder comes due
- Every open task from every project, collected in one place
Contacts that work as case files
- Contact records with emails, phones, addresses, birthday, company, role and photo
- Every new contact gets an Artifacts case file with ready-made folders: HR, Pictures, Secured, Weekly Reports, Time Sheets. Upload files straight into the right category from the contact page.
- Journal mentions: each contact page lists every journal entry that links to them
- Auto-linking: contact names typed anywhere in your vault turn into links to that contact. This works on demand or automatically on save, and never touches headings, code or existing links.
- Companies and an Activities log (calls, emails, meetings, notes) linked to people and projects
- CSV import with automatic column matching and a preview before anything is created
Run projects end to end
- Each project has a brief, scope, milestones, tasks, risks, stakeholders, notes and its own Artifacts folder
- A milestone progress bar and a “next milestone” marker on every project card
- Projects Dashboard: drag-and-drop boards by status and by priority, plus custom charts (donut, bar, KPI cards or list) grouped by any field
- Set a reminder on any project task with the bell icon
- Mark a project Done and it moves to an archive. Historical Projects lets you browse and reactivate it later.
- Contacts and projects stay linked automatically: assign someone to a project and the project appears on their contact page
Track the small stuff too
- A lightweight Tasks board for one-off requests too small to be a project
- Statuses: open, in progress, blocked, done, cancelled
- Link a task to a project, delegate it to a contact, set start and end dates
- Add timestamped status updates to a task’s history with one click
- Done tasks move to Historical Tasks
Meetings and journal
- Meetings are filed by subject, so recurring meetings stay together
- Recent subjects and locations appear as suggestions
- Attendees who aren’t contacts yet are created automatically
- Each meeting note includes an Artifacts upload area and a transcript section
- Journal: one folder per day with a Work / Projects / Dreams / Photos template, an Images folder, tags with a tag cloud, and an optional daily log (mood, sleep, weight, exercise, diet and more)
See your week and your network
- Week calendar: project deadlines, milestones, meetings and task due dates side by side, with overdue items flagged in red
- Graph View: an interactive map of how contacts, companies, projects and activities connect
Make it yours
- Switch any list between table, kanban and card views, with search, filters, sorting and a column chooser
- Custom fields: add, rename, retype and reorder properties for any record type. Existing notes are updated to match.
- Custom pages: add your own record types (vendors, assets, sources) to the sidebar
- Visual template builder: design the layout of each record type with text blocks, task lists, milestone timelines, linked-record tables or kanbans, and live charts
- Turn whole modules (Planner, Projects, Contacts) on or off
- A dark mode just for UC-PII, and a mobile layout with a slide-out menu
Google Workspace sync (optional, privacy-first)
UC-PII can sync two-way with Google Calendar, Google Tasks and Google Contacts. It assumes nothing should leave your vault unless you allow it.
| Service | What syncs |
|---|---|
| Calendar | Project deadlines, milestones and meetings, on a dedicated UC-PII calendar. Move an event in Google and the note updates. |
| Tasks | Your UC-PII tasks, on a dedicated UC-PII list. Complete a task on your phone and it’s archived in the vault. |
| Contacts | Opt-in, one contact at a time. Name, emails, phones, addresses, company, job title, photo, and birthday (month and day only; the year stays in your vault). |
What never leaves the vault:
- note contents
- Artifacts
- tags
- journal entries
- attendee lists
- project links
- bios
Built-in safeguards:
- Hard blocks: anything tagged
#secured, anything inside an Artifacts folder, or anything marked “never sync” is never sent - Least-privilege calendar access: UC-PII can only see the calendar it creates, not your other calendars
- No attendees, ever: syncing never sends invitation emails that would expose names
- Generic-title mode: events can show “Milestone” or “Task” instead of real names, set globally or per note
- Account lock: connects only to the Google account you specify
- Preview: see exactly what would be sent before anything is sent
- Audit log: records which fields moved in every sync, never their values
- Purge: one button removes everything UC-PII put in Google
- Sign-in tokens are stored in your OS keychain where available
Privacy by design
- Your records are plain Markdown files with readable properties, not a hidden database
- Works with encrypted vaults such as Cryptomator. File moves include retry handling for encrypted drives.
- No telemetry, no account, no subscription
- Uninstall any time and your notes are still there, still readable
Requirements
- Obsidian 1.4.0 or later (desktop or mobile)
- Optional: the Dataview plugin, to show artifact file lists inside a note
- Optional: the TaskNotes plugin, if you’d rather manage tasks there
- For Google sync: a Google account, your own Google Cloud OAuth client (setup guide included), and the desktop app for the one-time sign-in
